CSP Vendor Code of Conduct
Carolina Sports Promotions ("CSP") is dedicated to fostering a professional, safe, and positive atmosphere for all vendors, guests, venue partners, and the community. Our events take place across diverse settings, from retail centers to private facilities. As a participant, you represent your own brand and the integrity of CSP to the public. These guidelines ensure that every vendor aligns with the professional standards required to maintain our high-quality event environment and venue relationships.
1. Professional & Respectful Conduct
Vendors are expected to conduct themselves professionally and respectfully at all times.
Harassment, threats, intimidation, aggressive or confrontational behavior, discriminatory conduct, excessive
profanity, or other disruptive behavior toward attendees, other vendors, CSP staff, venue employees, security personnel, tenants, or members of the public will not be tolerated.
Disagreements may happen. If an issue cannot be resolved calmly and professionally, please involve a CSP
representative rather than allowing the situation to escalate.
2. Venue Staff, Security & Rules
Our ability to continue hosting events depends on maintaining positive relationships with our venue partners.
Vendors must comply with reasonable instructions from CSP staff, venue management, security personnel, law enforcement, fire officials, and other authorized representatives.
Each venue may have its own requirements regarding parking, loading and unloading, entrances, operating hours, food and beverages, smoking, alcohol, security, fire codes, table placement, electrical access, and other matters. Venue-specific rules and CSP event instructions are considered part of this Code of Conduct and must be followed.
If a venue employee or security representative gives you an instruction that you believe is incorrect or
unreasonable, do not argue or escalate the situation. Contact a CSP representative and allow us to address the issue with venue management.
3. Event Instructions & Communication
Event-specific information regarding setup, load-in, parking, entrances, breakdown, and other venue requirements may be provided by CSP through text message, email, registration materials, social media groups, or other electronic communication.
Vendors are responsible for reviewing and following these instructions.
If you are unsure about an instruction or venue requirement, contact CSP before taking action.
4. Respect for Venue Businesses & Tenants
Some CSP events are held within or adjacent to active businesses, shopping centers, malls, and other commercial properties. Vendors must respect the businesses that operate in those locations year-round.
Vendors may not interfere with a permanent tenant’s customers, employees, merchandise, displays, entrances, or normal business operations.
Vendors may not purchase merchandise from a host venue’s permanent retailer or tenant during a CSP event for the purpose of immediately reselling that merchandise at the event, unless specifically approved by CSP.
Conduct that creates unnecessary conflict with a host venue’s permanent businesses or jeopardizes CSP’s
relationship with the venue is prohibited.
5. Honest & Ethical Sales Practices
Vendors are responsible for the merchandise they offer and the representations they make regarding that
merchandise.
Knowingly selling counterfeit, stolen, fraudulent, or intentionally misrepresented merchandise is prohibited.
Vendors should accurately represent, to the best of their knowledge, the authenticity, condition, grading, origin, and other material characteristics of merchandise offered for sale or trade.
Buyers and sellers are responsible for negotiating and agreeing upon their own transactions. CSP does not set vendor pricing, determine the value of merchandise, or guarantee transactions between vendors and customers.
6. Table, Display & Selling Space
Merchandise, displays, chairs, equipment, and other vendor property must remain within the space assigned by CSP unless prior permission has been given.
Vendors must keep aisles, emergency exits, neighboring tables, storefronts, doorways, and common areas clear.
Displays must be safe, stable, appropriate for the venue, and suitable for a public event.
Vendors may not relocate tables, expand into unassigned space, block another vendor’s display, or establish
additional selling areas without CSP approval.
7. Vendor-to-Vendor Conduct
Competition is part of the collectibles business. Hostility and interference are not.
Vendors are welcome to buy, sell, and trade with one another. However, vendors may not intentionally interfere with another vendor’s transactions, harass or intimidate another vendor, intentionally disrupt another vendor’s business, or create unnecessary conflict.
Disagreements should be handled professionally. If assistance is needed, contact CSP staff.
8. Family-Friendly Environment
CSP events attract collectors, families, and attendees of all ages.
Vendor merchandise, signage, displays, clothing, music, language, and behavior should be appropriate for a
general public event and the requirements of the host venue.
CSP reserves the right to require the removal of merchandise, signage, displays, or other material that CSP or the host venue determines is inappropriate for the event or location.
9. Safety & Security
Vendors are responsible for securing their own merchandise, cash, equipment, and personal belongings.
Theft, suspected theft, threatening behavior, safety concerns, or emergencies should be reported promptly to CSP staff and, when appropriate, venue security or law enforcement.
Vendors should not personally pursue, detain, confront, or physically engage suspected shoplifters or other
individuals when doing so could create a safety risk.
10. Setup, Show Hours & Breakdown
Vendors must follow all CSP and venue instructions regarding setup, load-in, parking, event hours, and breakdown.
Unless otherwise authorized by CSP, vendors are expected to remain set up during advertised show hours. Early breakdown can create safety concerns, disrupt neighboring vendors, and negatively affect the experience of attendees.
At the conclusion of the event, vendors are responsible for removing their merchandise, displays, equipment, and trash and leaving their area in good condition.
11. Compliance & Enforcement
CSP reserves the right to address conduct that, in its reasonable judgment:
Creates a safety or security concern;
Disrupts the event or attendee experience;
Harms or unreasonably interferes with another vendor, attendee, venue employee, or venue tenant;
Violates CSP or venue rules;
Damages or jeopardizes CSP’s relationship with a venue or community partner; or
Otherwise reflects poorly on the professional operation of a CSP event.
Depending on the circumstances, CSP may issue a warning, require immediate corrective action, remove a vendor from an event, and/or decline the vendor’s participation in future CSP events.
Serious misconduct may result in immediate removal without a prior warning.
A vendor removed for violation of this Code of Conduct may forfeit event registration or vendor fees, subject to applicable law and CSP’s registration and refund policies.
